The advantage of PDF file reports are that they can be easily previewed, stored for future reference or can be shared for a wider reach. The scalability of the PDF previews are excellent and ideal for devices with small screens.
Before generating the reports, the user must select the report type and the options associated with that report type. The report shall be generated in the SD card folder “/mystock/reports/”. The user may enter a preferred file name in the field provided, otherwise the name “Report.pdf” is used, by default. A PDF file with the given file name will be generated.
Once the report file is created, you will be prompted whether you want to view the report or send it attached to an email. To view the file content you need a PDF reader like Adobe Reader installed in your device. A free version of Adobe Reader can be obtained from the Google Play.
If you choose to send the file attached to an email, the available email client applications are listed out of which you may choose one to send the email. The file will be automatically attached. The PDF file is created in “/mystock/reports” folder, which can be copied or transferred to other devices or systems.
There are basically three types of reports that you can generate. Product List, Transaction report and Stock valuation report. Each of these report types and their options are explained below:
- Product List
Product list report can be generated based on three options.
- Sort by product code
- Sort by product name
- Sort by categories
Enter the Output PDF file name if you want a name other than the default. Press the ‘Process’ button to generate the report.
The Product List report has a column each for Product Code, Bar code, Product name, Category, Location and Unit Cost.
Transaction report lists out the transactions recorded for the active Inventory Center. The report can be produced with full details or summarized by product and transaction type. The various options available are described below:
- Date from and Date to : The user can select the period for which the report is to be generated. This is done by selecting the date using the ‘Date from’ and the ‘Date to’ buttons.
- Detailed: The Detailed Transaction Report has a column each for Date, Product code and Party, Product name, Transaction type and Reference, Quantity in, Quantity out, Unit Cost and Total Cost.
- Summary: The Summary Report summarizes the transactions based on transaction type for each product. The report has a column each for Product code, Product name, Transaction type, Quantity in, Quantity out and Cost.
- Inventory status
The Inventory Status Report lists out the latest stock status of each product and reflects the actual value of stock the Inventory is holding.
This report has a column each for Product code, Product name. Category, Location, Unit cost, Stock and Stock value.
Also, it shows the Total Stock value at the end of the report.
- View old reports
It is possible to store and re-view PDF reports. To do this, give appropriate and unique name for PDF file while generating the report so that you can identify them at a later stage. From the PDF report options screen press the Menu key to invoke the ‘View old reports’ menu option and select it. A file browser will help you to select the PDF file to view. The selected file will be opened and displayed by your PDF reader application
